    Begin with an asset and area structure

    Organise defects by building, floor, room, external zone or asset category. Give each item a reference number. A contractor should be able to connect the description, location, quantity, photograph and required outcome without guessing.

    For a multi-site programme, use consistent naming and a separate schedule for each location. State which information has been verified and which quantities must be confirmed during a compulsory site visit.

    Describe the defect and the required result

    A good item records the current condition and the expected outcome. “Door damaged” is less useful than a description of the affected door, observed defect, location, approximate size and whether repair or replacement is expected.
